Where it gets expensive

Three costly HR mistakes, and how to prevent them

None of them is visible when it happens. They surface on the payslip, in a dispute, or during a tax audit.

TER

PPh 21 withheld at the wrong rate

The riskA PTKP status changes but is never updated, or gross pay leaves out fixed allowances. Under-withholding usually surfaces in an audit, when fixing it costs far more.

How HRKita prevents it
  • PPh 21 TER is calculated by the payroll system from the PMK 168/2023 table, for every employee, every month.
  • It uses the same table as the calculator on this page.
  • Payslips and bank transfer files come from the same calculation.

SPKL

Overtime paid without clear approval

The riskOvertime hours live on paper or in chat messages. What is paid is not always what was approved, and disputes start after the payslip goes out.

How HRKita prevents it
  • SPKL overtime orders with a per-unit approval matrix, before the overtime is worked.
  • An overtime confirmation kiosk: employees check their own overtime before payroll.
  • Every overtime correction is in the audit trail: who, when, from what to what.

PKWT

PKWT contracts expiring unnoticed

The riskEmployees keep working after their contract ends. The decision to extend or not comes late, and their employment status becomes hard to defend.

How HRKita prevents it
  • PKWT contract reminders before the end date.
  • Tiered contract evaluation, so every extension decision has a written basis.

What changes

What changes once HRKita is in place

Three moments matter most to HR teams: closing day, the hours after it, and the moment an auditor asks questions.

Closing day

Attendance is validated, overtime is approved at its unit, and pay schemes are final. Salaries are processed per company and per period; the system calculates PPh 21 TER, not a separate spreadsheet.

The HR team's hours afterwards

The HR team no longer works overtime re-checking. Payslips and bank files come straight out of the payroll system; salary revisions go through a workbook that is uploaded again, not manual edits.

When the audit arrives

Every change to pay and employee data leaves a trail: who changed it, when, and from which value to which. Auditor questions are answered from the system, not from memory.

Product preview

From overtime order to bank file, in one flow

One example of the overtime flow in HRKita. Choose each step to see its screen.

The supervisor requests overtime before it is worked

The SPKL records who, how many hours, and for what work. No overtime appears out of nowhere at month end.

Approval follows the per-unit matrix

Unit head, then manager, following the matrix you define. Every approval is recorded with a name and a time.

Approved overtime flows into payroll

Only overtime that was approved and actually worked is paid. Employees see their overtime hours on the payslip, matching what they confirmed.

A transfer file ready to upload to the bank

A closed payroll produces the bank transfer file. No account numbers are typed twice.

Frequently asked

What people usually ask before a demo

Is HRKita suitable for companies with many branches or depots?

Yes. The system is built for multi-company, multi-depot, and multi-brand setups, with access rights per company and pay scheme adjustments per depot.

Is PPh 21 calculated with the TER scheme?

Yes. TER, PKP, and PTKP tables are uploaded and versioned inside the system, so rate changes do not wait for an application release.

Can employees apply for leave from their phones?

Not yet. Today employees are served through the login-free service counter and can view their own attendance summary. An employee portal is on the roadmap; ask about the schedule during the demo.

How does attendance data get into the system?

Through attendance machine export files uploaded per period, then validated before pay is processed. We do not yet sell direct machine integration as a feature; ask about your machine brand during the demo.

Where is our data stored?

Each client uses its own database, separate from other clients, on a server agreed during implementation. Access rights are set per role and per company, with an audit trail for changes to pay and employee data. Details are on the Data Security page.
